Searching the content of items within Agility is easy. Simply enter one or more search terms (the words or phrase that describe the item you want to find) and hit the 'Search' button. Agility will then search the content searchable items within the system that contain the search terms you have entered.

Note: Link documents do not reside within Agility so their content cannot be searched. If search terms are entered into the 'word or phrase' box then the URL text path to the document will be searched instead.

Here are some tips to help you maximise the effectiveness of your search:Choosing the right search terms is the key to finding the documents that you need. Start with the obvious - if you're looking for item related to expenses, try expenses.

 

Choosing search terms

It is often advisable to use multiple search terms; if you're searching for the expenses claim form, you will do better with expenses claim form than with expenses alone.

Capitalisation

Agility searches are not case sensitive. All letters, regardless of how you type them, will be understood as lower case. For example, searches for expenses, Expenses and EXPENSES will all return the same results.

Automatic "and" queries
By default, Agility only returns documents that include all of your search terms. There is no need to include "and" between terms. For example, entering expensesform is the same as entering expenses and form.

Phrase searches
To perform a search for an exact phrase, simply put quotation marks around your search terms, for example "health and safety".

Exclusion of common words
Agility ignores common words and characters such as "where", "are", and "you", as well as some single digits and single letters. These common words tend to slow down the search without improving the quality of the results.

To include a common word in a search, conduct a phrase search, which simply means putting quotation marks around the words. Common words in a phrase search (e.g. "where are you") are included in the search.

Advanced search operators
The Agility search can be improved by adding operators to your search terms. The advanced search operators that are currently supported are: 

• AND

  Using AND will find documents that include all of your search terms. For example, health AND safety will return all documents that contain both health and safety. If no operators are specified, Agility will automatically add AND operators where necessary.

• OR

  Use an OR operator to find documents that include either of the search terms specified. For example, health OR safety will return documents that contain either health or safety

• NOT

  Use the NOT operator to find documents that do not contain a search term. For example, health NOT safety will return documents that contain health but not safety. Note that only a single NOT operator can be used in the search terms. Also, if a NOT is used then all words after the NOT will be excluded. For example, health NOT safety policy will find documents that contain health but do not contain safety and policy.

You can also combine operators, for example policy AND health OR safety will find documents that contain policy and contain either health or safety.

Special Characters
Should you wish to explicitly search using terms containing non alpha-numeric characters you should enclose the term in double quotes and replace the non alpha-numeric characters with spaces, for example if you wish to find items containing the term BP-BMS-PM-007 you should enter "BP BMS PM 007" to get the desired results.
