4.1.16 Create a Risk Evidence Item

 

Risk Evidence Items are an important part of the Risk feature in AgilityBMS. Risk Evidence contains articles which provide record and evidence of carrying out a Control in compliance with Risk Evaluation. Evidence is then linked to Control.



4.1.16.1 To Create a Risk Evidence Item

 

  1. Navigate to the Workspaces Tab
  2. Click the Risk Evidence icon (Create Evidence window appears)

  1. If required enter Number
  2. Enter Title
  3. If Advanced Properties are in place and are required then select relevant Advanced Properties
  4. If Item Roles are in place click Add or Item Role icon 
  5. Navigate to the Detail tab
  6. Click Detail Tab

  1. Specify Full Description for Evidence
  2. Specify Location of Evidence being carried out
  3. Select Evidence Check boxes required(what kind of evidence is being recorded)


Note that more than one type of check can be selected in Risk Evidence.


  1. Add Evidence Items


  • Click Add Links
  • Search for AgilityBMS Items
  • Select required AgilityBMS Items
  • Press Select


  • Click Add URL
  • Select URL or Dynamic URL from drop down list
  • Enter Destination URL
  • Define Link Name
  • Click OK



  1. Add Signatories


  • Click the Add Signatory button (new query window is opened)
  • Click Search



Note that only Role Items and Person Items can be added as Evidence Signatories.


  • Select required item(s)
  • Click Select (item details are displayed in the signatories section)


  1. Add Attachments (if required) by selecting files from your local or network dives (there is no limit to the number, but each is limited to 15MB in size



  1. Add Links to AgilityBMS Items


  • Click Add Links
  • Search for AgilityBMS Items
  • Select required AgilityBMS Items
  • Press Select


  • Click Add URL
  • Select URL or Dynamic URL from drop down list
  • Enter Destination URL
  • Define Link Name

  • Click OK



  1. Click Save (Risk Evidence is now saved in the system) or you can Save and Check In the Risk Evidence Item
  2. The Risk Evidence Item is now ready for the Item Workflow to be initiated.

  1. You can add the Item to a Navigator - See Section 4.1.2 for details on how to achieve this
  2. You can add the Item to a Group - See Section 4.1.3 for details on how to achieve this
  3. You can define Periodic Review Settings of the Item - See Section 4.1.4 for details on how to achieve this
  4. You can define Subscription Settings of the Item - See Section 4.1.5 for details on how to achieve this



4.1.16.2 Action a Risk Evidence Item after Creation

 

  1. In the Risk Evidence Designer toolbar select Action Items

Item Workflow Screen


  1. The Item Workflow screen is opened where the Risk Evidence (the default workflow for a Risk Evaluation is Advanced) can have the following set:


  • Send for Review with the Review Task Settings being modified if required - See Section 4.3.4 for details on how to achieve this
  • Set as Reviewed
  • Send for Approval with the Approval Task Settings being modified if required - See Section 4.3.7 for details on how to achieve this
  • Set as Approved
  • Release.



4.1.16.3 Action a Risk Evidence at a Later Date

 

  1. On the Welcome page or Workspaces tab, select Item Query
  2. Enter the Number/Title or part of the Number/Title of the Risk Evidence in the All or part of the item: field
  3. In Where item type is: select Risk Evidence
  4. Click Search
  5. On the required Risk Evidence, right-click on the Risk Evidence and select Action Items


New Query > Risk Evidence Item > Showing Right Mouse Button Options


  1. The Item Workflow screen is opened where the Risk Evidence Item can enter into the Item Workflow, see previous section (4.1.16.2) for more information.
