4.1.15 Create a Risk Control

 

Risk Control Items are an important part of the Risk feature in AgilityBMS. Risk Control allows the user to formalise procedures and processes put in place to mitigate and reduce the chance of a risk occurring. A Risk Control is then linked to Risk Evaluation. A Risk Control can also have Risk Evidence Items linked to it.



4.1.15.1 To Create a Risk Control Item

 

  1. Navigate to the Workspaces Tab
  2. Click the Risk Control icon (Create Control window appears)

  1. If required enter Number
  2. Enter Title
  3. If Advanced Properties are in place and are required then select relevant Advanced Properties
  4. If Item Roles are in place click Add or Item Role icon 
  5. Navigate to the Detail tab
  6. Click Detail Tab

  1. Specify Code, Frequency and Impact if required (where the Code, Frequency and Impact feature has been enabled in the system, this is done in the System tab > Risk Settings by System Administrators)
  2. Specify full Description of the Risk Control (this can be just a brief description of the Risk Control procedure as the Risk Control is supported with links which can in form of a formal document describe the Risk Control in full detail)
  3. Define 'Control Type', from the drop down menu which is defined in the Risk Settings (Note this is not a mandatory field and if left blank will be omitted from the Risk Evaluation when viewed in the User Suite)
  4. Define 'Control Expected Outcome'; from the drop down menu which is defined in the Risk Settings (Note this is not a mandatory field and if left blank will be omitted from the Risk Evaluation when viewed in the User Suite)
  5. Define the 'Control Cost'; from the drop down menu which is defined in the Risk Settings (Note this is not a mandatory field and if left blank will be omitted from the Risk Evaluation when viewed in the User Suite)
  6. The Control Item can be linked to other AgilityBMS Items or to URL Links (only one link can be used)
  7. Add Control Item
  8. Add Links to AgilityBMS Items


  • Click Add Links
  • Search for AgilityBMS Items

  • Select required AgilityBMS Items

  • Press Select


  • Click Add URL

  • Select URL or Dynamic URL from drop down list

  • Enter Destination URL

  • Define Link Name

  • Click OK



  1. Add Risk Evidence
  • Click the Add Evidence Button
  • Click Search
  • Select required Item(s)
  • Click Select (items appear in the controls section of the risk evaluation)
  • If the Evidence you require is not available then select Create New Evidence; which opens a new window for New Evidence, see Section 4.1.16 Create an Evidence Item



  1. Add Attachments (if required) by selecting files from your local or network dives (there is no limit to the number, but each is limited to 15MB in size



  1. Click Save (Control is now saved in the system) or you can Save and Check In the Control Item
  2. The Control Item is now ready for the Item Workflow to be initiated.

  1. You can add the Item to a Navigator - See Section 4.1.2 for details on how to achieve this
  2. You can add the Item to a Group - See Section 4.1.3 for details on how to achieve this
  3. You can define Periodic Review Settings of the Item - See Section 4.1.4 for details on how to achieve this
  4. You can define Subscription Settings of the Item - See Section 4.1.5 for details on how to achieve this


4.1.15.2 Action a Risk Control Item after Creation

 

  1. In the Risk Control Designer toolbar select Action Items

Item Workflow Screen


  1. The Item Workflow screen is opened where the Risk Control (the default workflow for a Risk Evaluation is Advanced) can have the following set:


  • Send for Review with the Review Task Settings being modified if required - See Section 4.3.4 for details on how to achieve this
  • Set as Reviewed
  • Send for Approval with the Approval Task Settings being modified if required - See Section 4.3.7 for details on how to achieve this
  • Set as Approved
  • Release.



4.1.15.3 Action a Risk Control at a Later Date

 

  1. On the Welcome page or Workspaces tab, select Item Query
  2. Enter the Number/Title or part of the Number/Title of the Risk Control in the All or part of the item: field
  3. In Where item type is: select Risk Control
  4. Click Search
  5. On the required Risk Control, right-click on the Risk Control and select Action Items


New Query > Risk Control Item > Showing Right Mouse Button Options


  1. The Item Workflow screen is opened where the Risk Control Item can enter into the Item Workflow, see previous section (4.1.15.2) for more information.
