4.1.10 Create a Person

 

A Person Item relates to User Login as it allows for connection between a Login and a Role.



4.1.10.1 To Create a Person Item

 

  1. Navigate to the Workspaces Tab
  2. Click on the Person icon (Create Person window appears)

  1. If required enter Number
  2. Enter Title
  3. If Advanced Properties are in place and are required then select relevant Advanced Properties
  4. If Item Roles are in place click Add or Item Role icon 
  5. Navigate to the Detail tab

  1. Specify Forename
  2. Specify Surname
  3. Specify Email (either the Forename or Surname and Email are essential information each Person must have)
  4. Assign Login (if Login exists)

  • Click the Login magnifying glass icon (new query window is opened)
  • Click Search
  • Select relevant Login
  • Click Select

  1. Specify Primary Role (if known)

  • Click the Primary Role magnifying glass icon (list of Agility roles is opened)
  • Select relevant Role
  • Click Select (Primary Role appears in the Primary Role section)

Primary Role Assigned to a Person


Note that only one primary role can be assigned to a single person.


  1. Specify Secondary Role (if required)

  • Click the Add Role button (new query window appears)
  • Click Search
  • Select relevant Role
  • Click Select (secondary role appears in the Secondary Roles sections)

Note that one or more secondary roles can be assigned to a single person.


  1. Specify Links (if required)

  • Click the Add Link button (new query window appears)
  • Click Search
  • Select relevant Item
  • Click Select (Item/s appears in the Links sections)

  1. Click (Person is now saved in the system) or you can and Check In the Person Item


Note that there are number of ways how to create a Person, these are discussed in greater detail in the Section 5.9.2.


  1. The Person is now ready for the Item Workflow to be initiated.

  1. You can add the Item to a Navigator - See Section 4.1.2 for details on how to achieve this
  2. You can add the Item to a Group - See Section 4.1.3 for details on how to achieve this
  3. You can define Periodic Review Settings of the Item - See Section 4.1.4 for details on how to achieve this
  4. You can define Subscription Settings of the Item - See Section 4.1.5 for details on how to achieve this



4.1.10.2 Action a Person after Creation

 

  1. In the Person Designer toolbar select Action Item

Item Workflow Screen


  1. The Item Workflow screen is opened where the Person Item (the default workflow for a Person is Basic) can have the following set:


  • Send for Review with the Review Task Settings being modified if required - See Section 4.3.4 for details on how to achieve this
  • Set as Reviewed
  • Send for Approval with the Approval Task Settings being modified if required - See Section 4.3.7 for details on how to achieve this
  • Set as Approved
  • Release.



4.1.10.3 Action a Person at a Later Date

 

  1. On the Welcome page or Workspaces tab, select Item Query
  2. Enter the Number/Title or part of the Number/Title of the Person in the All or part of the item: field
  3. In Where item type is: select Person
  4. Click Search
  5. On the required Person, right-click on the Person and select Action Items


New Query > Person Item > Showing Right Mouse Button Options
