3.3.4 Change Request - Decision Review 

 

The purpose of the Change Request Decision Review is to enable Coordinator to review the Change Request Collaborator comments. The Coordinator can either move the Change Request to the Implementation Stage or to make amendments to the Change Request and can send it back to Initial Review to enable a further Collaborator Review to be carried out.


Decision Review of a New Change Request:


The Decision Review can be commenced by either of the following:

  1. Option 1: From My Tasks
  2. Click My Tasks
  3. Click the relevant Change Request Number on the My Tasks Screen (the Status shows which Tasks are Decision Review) and the Change Request will be opened

  4. Option 2: From Change Request Register Screen
  5. Click the relevant Change Request Number and the Change Request will be opened
  6. The Change Request is opened showing the workflow status at the Decision Review stage

  7. If after reviewing the Change Request you feel that you are not the correct Coordinator then the Change Request can be Re-Assigned to another Coordinator (you must be an AgilityBMS System Administrator with Override and Management of Change Module privileges)
  8. Select Re-assign Coordinator button and the Re-assign Coordinator window opens

  9. Select from the drop down list against New and select another Coordinator
  10. Click Save; your tasks for the ChangeRequest will be removed and the Coordinator allocated the task and email
  11. The Change Request can be edited (any fields apart from: Number, Status, Date Raised, Raised By, Raised as Role) – note any amendments are captured in the history for the Change Request for traceability
  12. Upon completion of editing the Change Request press Save
  13. The Change Request Collaborator Review Comments can be reviewed at the bottom of the Change Request screen

  14. If the decision is to edit the Change Request information in line with Collaborator Review comments then the Change Request can be edited (any fields apart from: Number, Status, Date Raised, Raised By, Raised as Role) – note any amendments are captured in the history for the Change Request for traceability
  15. Upon completion of editing the Change Request press Save
  16. Click Send Back to Initial Review button and the Send Back to Initial Review window is opened

  17. Add comments: the comments field enables simple formatting functionality including: Bold; Italic; Underline; Justify (Left, Centre, Right, Full); Bullet Points; Numbered Lists; Indent
  18. Click OK to save or Cancel to close the window and return to the Change Request Decision Review Screen
  19. The Change Request is sent back to Initial Review Stage – refer to Section 3.3.2 (Note the Change Request can be sent through as many Collaborator Reviews as required with each collaborator review being allocated a revision number)
  20. If the decision is to send the Change Request forward to the Implementation Stage then click Send for Implementation button which opens the Send for Implementation window

  21. Click Send Back to Initial Review button and the Send Back to Initial Review window is opened
  22. Add comments: the comments field enables simple formatting functionality including: Bold; Italic; Underline; Justify (Left, Centre, Right, Full); Bullet Points; Numbered Lists; Indent
  23. Define a Change Request Owner
  24. Click Add to choose the Change Request Owner
  25. The Add Owner Window is opened
  26. Select the required Person (there can be only a single Owner defined)
  27. Filtering Options can be applied to multiple columns if required.
  28. Select the required column and click the filter button
  29. Select required parameters from the filtering options available
  30. Click the Filter button
  31. Filtered results will be displayed.
  32. Once your selection have been made click Add Selected Agility Items
  33. Click OK
  34. The ChangeRequest will move to the Implementation stage and the Change Request Owner will be allocated a Task and Emailed a notification.
