3.3.2 Change Request - Initial Review

 

New Change Requests are subject to Initial Review by a Coordinator.


Coordinators are informed of New Change Requests requiring Initial Review by Email notification and in their My Tasks.


Initial Review of a New Change Request:


  1. The Initial Review can be commenced by either of the following:
  2. Option 1: From My Tasks > i) Click My Tasks > ii) Click the relevant Change Request Number on the My Tasks Screen (the Status shows which Tasks are Initial Review) and the Change Request will be opened

  3. Option 2: From Change Request Register Screen: i) Click the relevant Change Request Number and the Change Request will be opened

  4. The Change Request is opened showing the workflow status at the Initial Review stage (see an example of a Change Request Initial Review Screen at the end of this section)
  5. If after reviewing the Change Request you feel that you are not the correct Coordinator then the Change Request can be Re-Assigned to another Coordinator (you must be an AgilityBMS System Administrator with Override and Management of Change Module privileges)
  6. Select Re-assign Coordinator button and the Re-assign Coordinator window opens

  7. Select from the drop down list against New and select another Coordinator
  8. Click Save; your Task for the Change Request will be removed and the new Coordinator allocated the task and email
  9. The Change Request can be edited (any fields apart from: Number, Status, Date Raised, Raised By, Raised as Role)
  10. Upon completion of editing the Change Request press Save
  11. The Change Request can be rejected if it is found after Initial Review that it will not be progressed; this is done by selecting Reject and Cancel

  12. Enter in Additional Comments (which explain reason for cancelling Change Request) andselect OK (the system will email the Originator informing them of the reason for Cancelling and also the Status will be updated on the Change Request to Cancelled)
  13. When the Change Request is to be progressed forward then select Send for Collaborator Review (this enable people to be nominated to further the review the Change Request and recommend implementation and actions)

  14. Enter any Additional Comments required
  15. Click Add to choose the Collaborators
  16. The Add Collaborators Window is opened
  17. Select the required Persons
  18. Filtering Options can be applied to multiple columns if required.
  19. Select the required column and click the filter button
  20. Select required parameters from the filtering options available
  21. Click the Filter button
  22. Filtered results will be displayed.
  23. Once your selection have been made click Add Selected Agility Items
  24. Define the Review Date (the default is based on the Task Settings defined in the MOC Module Admin Settings) – Note the Review Date cannot be after the Target Close Out for the Change Request
  25. Define the setting for Issue Reminder
  26. Define the settings for Repeat Reminders
  27. Click OK
  28. The ChangeRequest will move to the Collaborator Review stage and the Collaborators will be allocated a Task and Emailed a notification.
