4.1 Item Creation


 

4.1.1 General Tab

 

When creating an item in AgilityBMS the Administrator is presented with general item information that relates to all AgilityBMS items. The general information is divided into three sections:



    • Basic Details
    • Advanced Item Properties
    • Item Roles


General Item Information


Basic Details:


Basic details contain Number and Title of the item, option to include the item in All Users’ My Documents, the Admin Owner of the item (configurable by the administrator), item Status (which upon creation is always Draft), item Revision and the option to Apply Revision Offset.


Basic Item Details



    • Number – allows creating a number for each item where the Number does not have to be present, depending on settings of Basic Properties. If number is present it has to be filled in and has to be unique (use which ever convention has been agreed as the number is not automatically generated).


    • Title – allows creating a title for each item where the Title is always present. By creating an appropriate title the user is able to search for relevant items with ease.


    • In all User’s My Documents – allows the administrator to insert the item to each user’s My Documents in the User Suite, where the user will not be able to remove this item.


    • Admin Owner – allows the administrator to select who the admin owner of item is, where by default the admin owner is the user logged into the Admin Suite. When selecting an admin owner the user is presented with a drop down menu populated with valid AgilityBMS users (user login associated with released person).


    • Status – displays the items status in the item lifecycle process. Upon item creation the item’s status will always be Draft.


    • Revision – a 0.1 revision is assigned to an item when created in AgilityBMS.


    • Apply Revision Offset – allows altering the item revision, however upon creation it is not advised to alter item’s revision.


Advanced Item Properties:


Advanced item properties contain Advanced Properties tree view created by the System Administrator. Upon item creation it is possible to associate the item with a property(ies) in the Advanced Properties in order to ease the search for items in the User as well as the Admin Suite.


Advanced Item Properties


Based on the settings specified by the System Administrator it may be possible to select multiple advanced properties, these can be selected by clicking on the relevant box next to advanced property text.


Item Roles:


Item roles contain the names of those individuals involved in the item lifecycle or in any way related to the item. Based on the Item role settings specified by the System Administrator different item roles may be available for different items.

It should be noted that the functionality associated to the following tab is not available until such times as an Item has been saved.

    • Navigation
    • Groups
    • Periodic Review
    • Subscriptions
    • History
