2.6 Introduction to Tasks

 

The My Tasks page shows all Tasks in which the User is required to complete or Tasks which the User is being informed about.


By default the thresholds for different colours of Tasks Notifications are set to the following:


  • White:No tasks due for at least 10 days
  • Green:Tasks due within 5 to 10 days
  • Amber:Tasks due within 2 to 5 days
  • Red:Tasks due within 2 days or overdue.


Note, the number of days for each Task threshold can be changed and configured within the Admin Suite.


To open My Tasks:


  1. Navigate to Main Menu (top of the screen)
  2. Click on the My Tasks icon.

Task Grid includes the following columns:


  • Action
    • For Information
    • Yes
    • No
    • Yes - For Approval (Record Task)
    • Yes - For Disposal (Record Task)



  • Task Type
    • Review
    • Approve
    • Periodic Review
    • Subscription Check
    • Feedback
    • Record
  • Due Date
  • Related Item
  • Passed
  • Failed
  • Undecided.


My Tasks Result Grid


The Action column indicates the type of action required from the User:


  • For Information - The Task is for information purposes only
  • Yes - The Task requires an action from the User
  • No - The Task requires no action from the User. The Task has not yet been completed because either not all Actioners have voted or the Due Date has not been reached, this will depend on what Item Workflow Settings are being applied.
  • Yes - For Approval - The Task requires an action from the User
  • Yes - For Disposal - The Task requires an action from the User.


The Task Type column indicates the nature of the Task:


  • Review - Verification process before Releasing the Item to all Users
  • Approve - Validation process before Releasing the Item to all Users
  • Periodic Document Review - Validation process of live Item to ensure the Item remains fit for purpose
  • Subscription Check - Acknowledgement of understanding of the Item's latest Revision
  • Feedback - Feedback Task against the System or a specific Item
  • Record (Approval) - Validation process of Approving/Rejecting a Record
  • Record (Disposal) - Validation process of Disposing/Retaining a Record.

Other columns include:

  • Due Date - Specified date by which the Task is due to be completed
  • Related Item - Specified Item to which the Task pertains
  • Pass - Specified number of Actioners who voted ‘Pass’
  • Fail - Specified number of Actioners who voted ‘Fail’
  • Undecided - Specified number of Actioners who have not taken any action.
