5.4.2 Manage Item Workflow Settings

 

To manage Item Workflow Settings:

    1. Navigate to the System Tab
    2. Click the Item Workflow Settings icon (Item Workflow window appears).

Note that that the functionality of all Item tabs are the same apart from the System tab, which will be dealt within this section.



5.4.2.1 Manage Item Workflow Settings: Review

 

Document Workflow Settings - Review


The purpose of Review is to enable and Item to be checked prior to issue for Approval, so that it can be ensured that the Item is fit for purpose, accurate and relevant to the business. It should be noted that the Actioners for Review are defined for the individual Item prior to issue for Review; however, the global settings for Review are set at this point.


    1. Click Review
    2. Based on requirements specify:

      • Review Task Settings
      • Actioners

    1. Click Save if finished; if not continue to define the settings for the Item type and other Item types if required.

5.4.2.2 Manage Item Workflow Settings: Approve


Document Workflow Settings - Approve


The purpose of Approve is to enable an Item to be checked for approval prior to Release, so that it can be ensured that the Item is fit for purpose, accurate and relevant to the business. It should be noted that the Actioners for Approve are defined for the individual Item prior to issue for Approval; however, the global settings for Approve are set at this point.


    1. Click Approve
    2. Based on requirements specify:

      • Review Task Settings
      • Actioners

    1. Click Save if finished; if not continue to define the settings for the Item type and other Item types if required.

5.4.2.3 Manage Item Workflow Settings: Feedback


Document Workflow Settings – Feedback


The purpose of Feedback is to enable Users to raise and submit feedback against an Item. The settings at this stage define who the feedback is raised to and the number of days defined that the feedback is to be acknowledged in.


    1. Click Feedback
    2. Based on requirements specify

      • Whether the Item type requires Feedback allowed for the Item type or not
      • Define the number of days that acknowledgement to the Feedback is to be provided
      • Define the Actioners responsible or are informed with regards to the Item Feedback

    1. Click Save if finished; if not continue to define the settings for the Item type and other Item types if required.
