4.3.12 Action Periodic Review Task
Once a Periodic Review Task is created it is possible to action task with the use of either new query or task query functions in the Admin Suite.
To action review task from new query:
- Navigate to the Workspaces Tab
- Click on the New Query icon (New Query windows appears)
- Alternatively Click on the New Query icon on the left hand side
- Expand the Where Item Type Is menu
- Select relevant Item Type
- Specify other relevant search criteria
- Click Search
- Select required Item
- Right-Click item (Item actions menu appears)
- Task Query Window is opened in a new tab
- Select the Periodic Review Task (Action Task button becomes available)
- Right Click Action Task and Select Action Task (Task completion window appears)
Task Completion Window
- Select relevant Action to take:
- Call Now – Task will be initiated now
- Reset Start Date – Task’s call date can be changed
- Cancel – Task will be cancelled
- Type in comment
- Click OK (Task is completed/cancelled and the item’s status remains as Released)
To action periodic review task from task query:
- Navigate to the Workspaces Tab
- Click on the Tasks icon (Task Query windows appears)
Task Query Window
- Expand the Task Type menu
- Select Approve
- Type in relevant item search criteria in the Item Search Options
- Click Search
- Select required Approve Task
- Right-Click task (Task menu appears)
- Select Action Task (Task window is opened and review task is displayed)
Task Completion Window
- Select relevant Action to take:
- Call Now – Task will be initiated now
- Reset Start Date – Task’s call date can be changed
- Cancel – Task will be cancelled
- Type in comment
- Click OK (Task is completed/cancelled and the item’s status is changed from Awaiting Review to Reviewed).
Note that once the Task is completed or cancelled by the System or Document Administrators it will no longer be displayed in the actioner’s My Tasks in the User Suite.
