3.3.5 Change Request - Implementation 

 

Change Requests are allocated to a single user as the Change Request Owner and are then responsible for implementation stage including the raising of actions and final close out.


The Change Request Owner is informed of a Change Request requiring Implementation by Email notification and in their My Tasks.


3.3.5.1 Implementation of a Change Request


  1. The Implementation can be commenced by either of the following:
  2. Option 1: From My Tasks
  3. Click My Tasks
  4. Click the relevant Change Request Number on the My Tasks Screen (the Status shows which Tasks are Implementation) and the Change Request will be opened

  5. Option 2: From Change Request Register Screen
  6. Click the relevant Change Request Number and the Change Request will be opened
  7. The Change Request is opened showing the workflow status at the Implementation stage

  8. If after reviewing the Change Request you feel that you are not the correct Owner then the Change Request can be Re-Assigned to another Owner (you must be an AgilityBMS System Administrator with Override and Management of Change Module privileges)
  9. Select Re-assign Owner button and the Re-Assign Owner window opens

  10. Select from the drop down list against New and select another Owner
  11. Click Save; your tasks for the Change Request will be removed and the Owner allocated the task and email
  12. The Change Request can be edited (any fields apart from: Number, Status, Date Raised, Raised By, Raised as Role)
  13. Upon completion of editing the Change Request press Save
  14. Where Change Request Actions are required then click the Raise Action button (refer to Section 3.4.1 for details of how to Raise a Change Request Action)

  15. The Actions Workflow Summary shows the number of Change Request Actions at each workflow stage (as shown above)


3.3.5.2 Implementation Close Out of a Change Request


  1. Click Send to Close Out button and Send to Close Out window is opened

  2. Add comments: the comments field enables simple formatting functionality including: Bold; Italic; Underline; Justify (Left, Centre, Right, Full); Bullet Points; Numbered Lists; Indent
  3. Where Additional Approvers are required then these can be defined (note the Change Request Owner cannot close out a Change Request until all Additional Approvers have agreed on the close out)
  4. Click Add to choose the Additional Approvers
  5. The Add Additional Approvers Window is opened
  6. Select the required Persons
  7. Filtering Options can be applied to multiple columns if required.
  8. Select the required column and click the filter button
  9. Select required parameters from the filtering options available
  10. Click the Filter button
  11. Filtered results will be displayed.
  12. Once your selection have been made click Add Selected Agility Items
  13. Define the Review Date (the default is based on the Task Settings defined in the MOC Module Admin Settings) – Note the Review Date cannot be after the Target Close Out for the Change Request
  14. Define the setting for Issue Reminder
  15. Define the settings for Repeat Reminders
  16. Click OK
  17. The Change Request will move to the Awaiting Close Out stage and the Additional Approvers will be allocated a Task and Emailed a notification.
