4.3.3 Task Query

 

Task Query is used in the Admin Suite to search, view, edit and complete all outstanding Tasks. Task Query can be accessed with the use of the Tasks icon located in the Workspaces tab.

Task Query Type:


  • Search All Tasks – Search for All Tasks regardless of Actioners
  • View My Tasks – Search for All Tasks where the logged on User is an Actioners on Items.


Task Type allows searching for Tasks based on the Task Type where the Task Types are the following:


  • Review
  • Approve
  • Periodic Review
  • Feedback
  • Subscription Check.


Task Status allows searching for Tasks based on the Task Status where the Task Statuses are the following:


  • Pending – The Task is waiting to be called, but has not yet been started. This applies to Periodic Reviews and acts as a placeholder for these, and for Feedback Tasks awaiting a response
  • In Progress – The Task has been created and is awaiting responses from the assigned Users
  • Completed – The Task has been completed. This means that all votes are in, but does not necessarily indicate that the Item has passed this stage
  • Overdue - The Due Date for the Task has been exceeded, but not all responses are in
  • Action Required – This pertains to Periodic Review Tasks. If a Periodic Review Task has failed further action is required as the failed item is still live in AgilityBMS
  • Active Task - This is the total of the Tasks with a Task Status of Pending, In Progress and Action Required.


Outcome – Allows searching for Task based on the Task outcome where the Task outcomes are the following:


  • None – This relates to Periodic Reviews which are waiting to be called, Tasks which have yet to be completed or Feedback Tasks which have been Rejected
  • Completed – This applies to Feedback and Subscription Tasks which are not voted against. Therefore there is no possibility of passing or failing the Task. This does not affect the Status of the Item. For a Subscription Task, it means that all acknowledgements are in, and for a Feedback Task that the Feedback has been Accepted and implemented
  • Passed – A voting Task which has been Accepted. This applies to Reviews, Approvals and Periodic Reviews. An Item will have a Status of Reviewed or Approved if the Task has been Completed and Passed
  • Failed – A voting Task which has not been Accepted. This applies to Reviews, Approvals and Periodic Reviews. An Item will have a Status of Draft if the Task has been Completed and Failed
  • Acknowledged - This relates to Subscription Tasks being acknowledged by the Subscribers
  • Accepted – This is relevant to Feedback Tasks. It indicates that the Feedback has been Accepted but hasn’t yet been implemented
  • Rejected – This is relevant to Feedback Tasks. It indicates that the Feedback has not been considered necessary
  • Cancelled – Task is stopped before it has been Completed (i.e. no Pass, Fail or Completed Outcome)
  • Created – This relates to when the Task was created.
