3.4.4 Change Request Action - In Progress
Change Request Actions are subject to Progress Review by the Change Request Action Owner. Change Request Action Owner is informed of Change Request Actions going to In Progress by Email notification and in their My Tasks. In Progress of a Change Request Action:
- The Change Request Action Owner can commence by either of the following:
- Option 1: From My Tasks
- Click My Tasks
- Click the relevant Change Request Action Number on the My Tasks Screen (the Status shows which Tasks are In Progress) and the Change Request Action will be opened
- Option 2: From Change Request Action Register Screen
- Click the relevant Change Request Action Number and the Change Request Action will be opened
- Option 3: From Change Request Screen
- Navigate to the bottom of the Change Request Screen to the Implementation summary table
- Click the relevant Change Request Action Number and the Change Request Action will be opened
- The Change Request Action is opened showing the workflow status at the Action Owner Review stage with the available options
- If after reviewing the Change Request Action you feel that you are not the correct Action Owner then the Change Request Action can be Re-Assigned to another ActionOwner (you must be an AgilityBMS System Administrator with Override and Management of Change Module privileges)
- Select Re-assign ActionOwner button and the Re-assign Action Owner window opens
- Select from the drop down list against New and select another Action Owner
- Click Save; your Task for the Change Request Action will be removed and the new Action Owner allocated the task and email
- The Change Request Action Additional Reviewers Comments can be reviewed at the bottom of the Change Request Action screen
- If the decision is to edit the Change Request Action information in line with Additional Reviewer comments then The Change Request Action can be edited (any fields apart from: Number and Status) – note any amendments are captured in the history for the Change Request for traceability
- Upon completion of editing the Change Request Action press Save (any changes made to the Change Request Action are captured in the History; refer to Section 3.5)
- The Change Request Action can be sent back for an additional review cycle, by Click Send Back to Action Owner Review button and the Send Back to Action Owner Review window is opened
- Add comments: the comments field enables simple formatting functionality including: Bold; Italic; Underline; Justify: (Left, Centre, Right, Full); Bullet Points; Numbered Lists; Indent
- Click OK to save or Cancel to close the window and return to the Change Request Decision Review Screen
- The Change Request Action is sent back to Action Owner Review Stage – refer to Section 3.4.3 (Note the Change Request Action can be sent through as many Action Owner Reviews as required with each Action Additional Review being allocated a revision number)
- If the decision is to accept the Change Request Action and implement then the action will be carried out in line with the requirements of the action (this will be in line with the organisations Business Management System processes and operations)
- Where the Change Request Action affects other personnel or personnel are required to be made aware or trained on the Change Request Action then they will be subscribed to the Change Request Action see Section 3.4.5,
