1.4.1 User Suite

 

The AgilityBMS User Suite is a web-based application. It is an on-line business management system providing traditional paper based procedures, forms and other related documents, as well as processes, in an electronic format allowing all staff in your organisation to access information easily.  As part of an implementation project, the business processes, procedures, roles and responsibilities have been identified and mapped in the system by our Business Analysts.  The system is designed to help your organisation achieve continual process improvement, reduce risk and meet various compliance standards and responsibilities. The process-based application has document management capabilities and is designed to clearly show business processes and standardizes your business giving it a consistent approach to its operations, thus helping improve work productivity and efficiency.


1.4.2 Administration Suite

 

The AgilityBMS Admin Suite is only available to designated administrators; this includes both system and document administrators. Specific designers will be made available as stand-alone modules to allow item and process creation out with the main application. Output can be saved to individual files or sent directly to the main system for inclusion.  The focus of the Admin Suite is to provide an application that is highly configurable to your individual requirements. Configuration elements include item ownership, item control steps and email configuration, external data source links and automated item review recurrences. The admin suite provides an improved interface and workspaces with reduces task time, increases efficiency and introduces higher levels of automation.


1.4.3 Home Page

 

The AgilityBMS home page can be tailored to a client’s specific needs. It can contain a business model created with the user of overviews, or a company’s existing website as well as custom images.


1.4.4 Search

 

With the use of a powerful search engine incorporated in to the User Suite, the user can easily locate required content with the use of quick or advanced search functions which allows the user to filter content based on specific search criteria.


1.4.5 Results Grid

 

The results grid allows manipulating the results returned by the system when a new query is carried out. Each query in the Admin or User Suite is supported with the results grid which allows the user to carry out user functions against items displayed as an outcome of a new query search.


1.4.6 Roles and Responsibilities

 

Roles and Responsibilities allow the user to view and access their primary and secondary roles within the company and any processes, controls and compliance relating to these processes.


1.4.7 Groups

 

With the use of groups targeted content can be created for each individual user in order to allow for easy navigation through the content in AgilityBMS.


1.4.8 My Documents

 

My Documents allow the users to favourite certain documents relevant to the role or processes in the business.  The users can configure their documents based on their preferences and System Administrators can enforce relevant AgilityBMS items to appear in all users My Documents.


1.4.9 System Navigators

 

Our dynamic navigators can provide extended functionality to allow Management System information, regulatory compliance, project documentation and location specific information to be presented in a simple and transparent manner. Multiple navigators can be developed and are accessible by fly-out menu structure from the titled tabs on the left of the screen. This feature additionally allows the entire system canvas to be used for document or system data display, providing an open, uncluttered interface.


1.4.10 Process Mapping

 

The AgilityBMS Process Maps have been completely redesigned to provide a feature rich application that is even simpler for all to use. The flow of information is now more transparent to the individual with less reliance on navigating away from the process for supporting information and links.


1.4.11 Overviews

 

Microsoft Visio (check with BusinessPort for supported versions of Microsoft Visio) is now integrated with AgilityBMS to provide the best framework for developing simple and dynamic process overviews and organisational structures for your Management System. With pre-drawn shapes, intelligent templates and sample drawings, large, complex models can be quickly developed, linked to other AgilityBMS items (such as process maps) and saved effortlessly to AgilityBMS.

 

1.4.12 Management of Change (MOC) Module


The MOC Module is an additional module to AgilityBMS and enables organisations to manage their changes efficiently and successfully and will benefit the organisation greatly.


The MOC Module offers a solution that will greatly enhance an organisation’s decision making, whether you are changing the direction of the organisation, replacing equipment, plant, IT systems or a key person in your operations.


Once you have decided what actions to take, the MOC Module enables you to manage each change through to its successful conclusion. It will also record the reasons behind your decisions, which will ensure that your successors, employees or regulators have access to your decision making process and understand the thought procedure behind past decision-making.

 

1.4.13 Risk Evaluation Register

 

Risk Management is critical to the success of any organisation to better manage their risks and controls. The Risk Evaluation Register provides a framework in which problems that threaten the delivery of the anticipated benefits are captured.


The Risk Evaluation Register is a risk management tool commonly used in risk management and regulatory compliance. It acts as a central repository for all risks identified by the organisation and, for each risk, includes information such as description, rating, type, likelihood/probability, severity/consequence and costs. It then further enables the User to sort and filter on any aspect to further rank their organisation's risks.


1.4.14 Dashboard


Within a Management System, a dashboard is an easy to read, single page, real-time interface, showing a graphical presentation of the current status (snapshot) of the organization’s key performance indicators to enable instantaneous and informed decisions to be made at a glance.The current information presented includes numbers of the processes, documents and feedback that an individual is involved with and also a summary of the individual’s tasks.
